Document exchange for real estate
How do you share property documents with buyers and lenders?
The problem
What goes wrong when a buyer, a seller, a lender and their agents, moving through one transaction exchange documents today
Five people, one email thread
A purchase agreement, a disclosure and a loan document all move through the same reply-all thread, so everyone sees everything whether it concerns them or not.
Nobody is sure which version is current
A revised disclosure sent as a new attachment leaves the old one still sitting in someone’s inbox, indistinguishable from the current one.
No view of what is still missing before closing
An inspection report or a loan document outstanding two days before closing is usually discovered by asking around, not by looking at a list.
What moves
The specific documents that pass between the two sides
Not documents in the abstract — these are the ones that actually show up.
- purchase agreements
- disclosures
- inspection reports
- loan documents
- title paperwork
Three spaces
The same structure as every other setting, applied here
Private, Shared and Client. Built and available now.
Private
A draft offer or disclosure, before it is ready to go to the other party.
Shared
The agents and escrow team working a transaction together.
Client
What one specific party — the buyer, the seller or the lender — can see, kept separate from everyone else’s.
Documents and spaces
Available nowThree spaces per contact — Private, Shared and Client — with upload, moving a document between them, and in-browser preview of PDFs, images, text, Word and Excel files.
Document requests
In progressA checklist of what you need from someone, filling in as they upload against each line. Partly built; not finished.
Not built for this industry
One product, applied here — not a separate one
docivault is not built for this industry. It is built for the exchange — the private workspace, the contacts, and the three document spaces are exactly the same ones every other use case on this site uses. What changes here is who is on each side, what moves between them, and what a buyer in this setting needs to check before trusting a vendor.
Property-transaction disclosure requirements vary by jurisdiction — check what applies to your transaction before relying on any vendor. See /compliance and /subprocessors for what docivault actually holds today.
Finance
Statements, KYC files and signed forms — the exchange, and the planned record of who opened them.

Questions
What people ask about real estate
Is docivault built specifically for real estate transactions?
No. It is built for an exchange between several parties who each need their own view of the same set of documents. A property transaction is one setting; a loan syndication is another.
Can the buyer and the seller be kept from seeing each other’s documents?
Yes — each is a separate contact with their own Client space, so a document you send one is not visible to the other by default. This is built and available now.
Can I see what is still missing before closing?
That is the requests feature, which is in progress rather than finished. Partly usable today, so keep your own list as the fallback until it is done.
Is the document exchange itself built yet?
Yes. Workspaces, contacts, the three spaces, uploading a document, moving it between spaces, previewing common formats in the browser, comments and sharing by an expiring link are all built and available now. Document requests are in progress. Bulk import from Drive or OneDrive, and a complete record of every view and download, are not built.
